The short answer
To approve a final mix, identify the exact pass, listen through the complete song, and check the agreed performance, arrangement, balance, edits, and ending. Review outstanding revision notes and any required alternate versions. Confirm approval in writing against the filename or pass label, then tell the engineer which file should proceed to mastering.
Keep these in mind
- Approval belongs to an exact file, not a project name.
- Listen through the start and ending, not only the main chorus.
- Make remaining requests and final decisions explicit.
When is a mix ready for an approval listen?
Begin when the expected writing, arrangement, and performance decisions are settled and the current revision round is complete. If the vocal still needs a pickup or the bridge is being rewritten, label that work clearly. A mix can be useful for evaluation without being ready for final approval.
Choose who has authority to approve the pass and gather the collaborators’ remaining notes first. A band should not send three independent “approved” messages while another member is asking for a different arrangement. Agree on the decision before the engineer prepares the handoff.
What should you check in the final mix?
Use the checklist as a listening aid, not a requirement to find a problem in every category. Start with a complete uninterrupted listen. Then return to the moments you flagged, using your usual playback setup and any other familiar system relevant to how the song will be heard.
Check for mistakes as well as taste preferences: a wrong lyric, missing part, unexpected edit, or clipped ending may be easier to overlook when you have spent several rounds discussing tone. If something is intentionally unusual, document that decision so it does not get “fixed” later.
- The exact pass and song title are identified.
- The intended lyric, vocal comp, and instrumental parts are present.
- Important parts remain understandable at a comfortable listening level.
- Edits, entrances, mutes, and transitions behave as intended.
- The beginning, ending, fades, and effect tails are complete.
- Agreed revision notes are resolved or explicitly declined.
- Required clean, instrumental, or other versions are discussed.
- The approved mix and mastering handoff are clearly named.

What should a written mix approval say?
Constructed example: Maya approves Soft Signals Mix 04 after the band confirms the harmony change and bridge space. Her message identifies the pass, what was checked, and the next destination. It does not say “Everything looks good” under a message containing several different files.
If a change is still needed, call it a remaining revision rather than approving the mix conditionally and hoping the engineer understands the exception. An exact decision prevents the wrong file from being sent into mastering.

What should happen after mix approval?
Ask the mastering engineer for their submission requirements and send the approved mix with a brief. Preserve the approved file and the context behind it. If you change the mix afterward, label the replacement and tell everyone who received the earlier version.
MixPass’s version history and deliverables organization can help keep the selected pass and final package identifiable. Recording an approval in the conversation is a workflow decision; do not assume a UI label alone tells every collaborator which file to use.

Common questions
Can an artist approve the mix on headphones?
Use familiar playback that lets you judge the song reliably. Another familiar system can reveal a useful concern, but there is no single device that automatically guarantees a correct approval.
Does mix approval also approve the master?
No. Mastering is a separate stage and should have its own listening review and exact-file approval.
What if we need a change after approving the mix?
Tell the engineer and affected collaborators, identify the new revision, and review it explicitly. Check whether the change affects mastering or alternate deliverables already prepared.
Should an instrumental be approved separately?
Review required alternate versions for correct content, edits, and endings. They may be derived from an approved mix, but still need a checked delivery state.
